HubSpot

Two powerful platforms. One unified view of your customer. Connect HubSpot and Positive User through Zapier to sync contacts, deals, companies, and form submissions between both systems. When a lead enters HubSpot, it appears in Positive User. When a deal moves in Positive User, HubSpot reflects it. Your sales team works in their CRM, your marketing team works in theirs, and nobody re-enters data.

Two CRMs, One Source of Truth

Sync Contacts and Companies in Both Directions

A new contact is created in HubSpot through a form submission, a sales call, or a manual entry. Zapier picks it up instantly and creates or updates the matching contact in Positive User. In the other direction, when Positive User captures a lead through chat, a popup form, or website tracking, Zapier pushes the contact to HubSpot. Both databases stay aligned.

React to Deal Stage Changes Across Platforms

HubSpot offers an instant trigger that fires when a deal enters a specific pipeline stage. Use it to sync deal movements to Positive User: create a deal when one is opened in HubSpot, update the stage when it moves, or fire a custom event when a deal is won or lost. In the reverse direction, use Positive User deal triggers to create or update deals in HubSpot.

Capture HubSpot Form Submissions in Positive User

HubSpot forms are widely used on landing pages and websites. When a visitor submits a HubSpot form, Zapier can create or update the contact in Positive User with the form data and trigger a marketing automation. This is especially useful when your marketing team builds landing pages in HubSpot but runs behavioral automations in Positive User.

Get ready fast

Three simple steps to get started

1

Connect Both Accounts in Zapier

Log into Zapier and create a new Zap. Select HubSpot as one app and "User.com" as the other. Authorize both accounts. You need Super Admin permissions in HubSpot. Important: HubSpot only allows one Zapier app connection per account.

2

Choose Your Direction and Workflow

For HubSpot → PU: use triggers like "New Contact," "Deal Stage Change," or "Form Submission" paired with "Create/Update User" or "Create Event." For PU → HubSpot: use "New User" or "New Deal" paired with "Create or Update Contact" or "Create Deal."

3

Map Fields, Test, and Activate

Map HubSpot contact properties to Positive User attributes (or the reverse). Note that HubSpot requires dates in UNIX timestamp format. Run a test. Turn on the Zap.

FAQ

Frequently Asked Questions

Do I need coding skills?
No. The entire integration is configured through Zapier’s visual interface. No code required.

Can I only have one Zapier connection per HubSpot account?
Yes. HubSpot allows only one Zapier app connection per account. Connecting a second one invalidates the first. Coordinate your team around a single Zapier account for HubSpot workflows.

Why would I use both HubSpot and Positive User?
Both are CRM and marketing platforms with different strengths. HubSpot is often the primary CRM for sales teams (pipeline management, deal tracking, reporting). Positive User excels at real-time website visitor tracking, behavioral automation, live chat, and multi-channel messaging (email, SMS, push). Teams that use HubSpot for sales and Positive User for marketing automation benefit from syncing both.

HubSpot requires UNIX timestamps for dates. How do I handle that?
Use Zapier’s built-in Formatter tool with the "Date/Time > Format" action to convert dates before sending them to HubSpot. Date/time values are also rounded down to UTC midnight.

Can I react to specific property changes in HubSpot?
Yes. HubSpot offers instant triggers for property changes on contacts, deals, companies, tickets, and custom objects. You specify which property to monitor (e.g., "Lifecycle Stage"), and the trigger fires the moment that property changes. Ideal for keeping Positive User tags aligned with HubSpot lifecycle stages.

How do I prevent infinite loops with two-way sync?
Use Zapier filters. A common pattern: add a "synced_from" attribute on the contact in both platforms. Before creating in the target, check if synced_from is already set. This prevents one Zap from triggering the other.

Is the data GDPR-compliant?
HubSpot, Zapier, and Positive User all offer GDPR compliance tools. HubSpot provides consent management, GDPR-compliant forms, and data deletion. Zapier is SOC 2 compliant. Make sure your sync respects opt-in/opt-out statuses in both directions.
