Zoom

Turn your webinars and meetings into lead generation engines. Connect Zoom and Positive User through Zapier to register contacts for webinars from your website, capture attendee data as contact profiles, and trigger automated follow-ups the moment a meeting ends or a recording becomes available. Every Zoom interaction feeds your CRM automatically.

From Webinar Registration to Automated Follow-Up

Register Contacts for Webinars Directly From Your Website

A visitor fills out a Positive User popup form on your website expressing interest in your next webinar. Zapier picks up the event and creates a Zoom webinar registrant with their name and email. The visitor receives Zoom's confirmation and reminder emails automatically. You collect the lead in your CRM and register them for the event in a single flow, without them ever visiting the Zoom registration page.

Capture Attendees and Registrants as CRM Contacts

When someone registers for a Zoom webinar or meeting, Zapier creates or updates their contact profile in Positive User with the registration data. When the meeting ends, Zapier can pull participant information and log attendance on the contact’s timeline. You see who signed up, who showed up, and who didn’t, all from within your CRM.

Trigger Follow-Ups Based on Meeting Outcomes

A webinar ends. Zapier detects the “Meeting Ended” trigger and fires a post-event automation in Positive User: send a thank-you email to attendees, a “sorry we missed you” email to no-shows, or share the recording link once it’s ready. A new cloud recording is completed. Zapier logs the event on the contact profile, and you can include the recording URL in your follow-up. The entire post-meeting workflow runs without manual work.

Get ready fast

Three simple steps to get started

1

Connect Both Accounts in Zapier

Log into Zapier and create a new Zap. Select Zoom as one app and "User.com" as the other. Authorize both accounts. For webinar-related workflows, you need a paid Zoom account with a Webinar license.

2

Choose Your Direction and Workflow

For Positive User → Zoom: use triggers like "New Event" or "New User" paired with actions like "Create Webinar Registrant," "Create Meeting Registrant," or "Create Meeting." For Zoom → Positive User: use triggers like "New Webinar Registrant," "New Meeting Ended," "New Cloud Recording," or "New Participant Joined" paired with actions like "Create/Update User" or "Create Event."

3

Map Fields, Test, and Activate

Map contact data (name, email) to Zoom registration fields (or the reverse). Run a test to verify the registrant is created or the contact is updated. Turn on the Zap.

FAQ

Frequently Asked Questions

Do I need coding skills to set this up?
No. The entire integration is configured through Zapier's visual interface. You select triggers, map fields, and activate. No code required.

Is there a ready-made template to get started faster?
Yes. Zapier offers a pre-built template called “Create Zoom webinar registrants from new User.com events” (template #23887). It registers contacts for a Zoom webinar automatically when a specific event fires in Positive User. Just connect your accounts, select the webinar, and activate.

Do I need a paid Zoom plan?
For meeting-related triggers (Meeting Ended, New Cloud Recording, New Meeting), a free Zoom account works. For webinar-related features (New Webinar Registrant, Create Webinar Registrant), you need a paid Zoom account with a Webinar license. Meeting registration triggers also require that registration is enabled on the specific meeting.

Can I differentiate between attendees and no-shows?
Yes, but it requires a multi-step approach. Use the “New Meeting Ended” trigger, then add a “Find Meeting or Webinar Participants” search step to retrieve the participant list. You can then compare registrants to actual participants and route them to different Positive User automations (thank-you for attendees, re-engagement for no-shows).

Can I send the recording link to attendees automatically?
Yes. Use the “New Cloud Recording” trigger, which fires when a recording is completed and includes the download URL. Map the recording link to a Positive User event or contact attribute, then use it in a follow-up email automation. The recipient gets the recording without anyone sending it manually.

Are there rate limits I should be aware of?
Yes. Zoom limits meeting and webinar create/update requests to 100 per day per user. This limit is shared across all Zapier automations and other apps connected to your Zoom account. For most use cases this is more than enough, but high-volume webinar registration workflows should be tested.

Can I use this alongside Positive User's native Google Calendar integration?
Yes. The Zoom Zapier integration handles webinar/meeting registration and post-meeting workflows. The native Google Calendar integration handles scheduling and booking links. They serve different purposes and run independently without conflict.

Is the data GDPR-compliant?
Zoom, Zapier, and Positive User all offer GDPR compliance tools. Zoom provides data processing agreements and residency options. Make sure your webinar registration forms include appropriate consent language. Zapier is SOC 2 compliant and provides a GDPR data processing addendum.
